How to Run a Successful F2F Meeting

Hint: Don’t Do What You’ve Always Done

10. Survey, Survey, Survey. Your audience is the ultimate judge of your success. Survey carefully and learn from the results. 

9. Establish Objectives and Measure Them. If objectives aren’t established and tested, you’ll never understand if the meeting was a success. Test your audience to ensure your objectives were met.

8. Create Social Activities & Team Building Events You’d Like to Attend. When designing social activities and team building events, only create what you’d enjoy. Be selective. 

7. Design an Interesting Agenda.  Ask yourself if you’d be interested in your agenda. If not, change your agenda to something you’d enjoy and your audience enjoy it as well.

6. Use a Wide Variety of Presentation Techniques. One person lecturing, followed by Q&A is the most common form of presentation. Don’t just use didactic presentations. Use on-stage interviews, panel discussion and audience participation learning experiences to keep your audience engaged.

5. Create Content That Would Personally Interest You. If the content doesn’t fascinate you, it won’t fascinate your audience. Create content that you’d want to hear.

4. Broadcast Your F2F In-Person Meeting and Do It Properly. So often, even when no virtual element is planned, suddenly, a virtual element is needed because a presenter or any audience member can’t attend. Have exceptional broadcast technology ready to go at every F2F meeting in case of emergency or better yet, design your F2F meeting from the outset to also be virtual, broadcasting live or on demand to a wider audience than you can invite F2F.  It’s worth the effort and can expand your audience by hundreds or thousands at a fraction of the F2F cost of inviting more people. 

3. Make Your Audio-Visual Fantastic. The purpose of a meeting is for your audience to see and hear your message. That’s why you need to properly fund audio (hear) and video (see). Don’t scrimp on audio-visual.   

2. Always Film Every Meeting Professionally. Why spend all that money on a meeting and not film it professionally?  F2F meetings are expensive.
